Operations & Administration (Control)

Prices, costs and allowances

ForAdministrationOperator

Administrators see where usage arises in their own organisation — by feature, course, group and person —, set limits and adjust package and allowances with an immediate price preview. The operator maintains prices and cost rates with sources and sees costs, revenue and margin per customer.

Why#

A seat price alone does not fit every use: a presentation costs fractions of a cent per view, a live learning session with the avatar many times that. Allowances, limits and a transparent price per seat keep both fair — for the organisation and for operations.

How it works#

  1. 1Administration: open “Usage & costs” (address /admin/kosten).
  2. 2At the top is the status of the pooled allowances this month with a forecast to month end.
  3. 3Under “Cost drivers”, view the share per feature, course, group and person; clicking a person shows their usage individually.
  4. 4Under “Limits”, set a limit per day or month for the whole organisation, a group or a person and choose what happens when it is reached.
  5. 5Under “Package and allowances”, adjust seats, building blocks and allowances — the price per seat changes immediately; “Submit order” sends the change to the operator.
  6. 6Operator: prices and cost rates at /admin/preise, costs and margin per customer at /admin/kosten-kunden.

Settings and switches#

  • Switchable per tenantDefault: onModule: Lernplattform (always booked)
  • Limits throttle gently: first text instead of the live avatar, then a notice, optionally no new questions until the next period. Courses, slides and exams always stay open.
  • Person-related analysis only for your own organisation and only for cost control; learners see only their own usage.

How the price is built#

  • The seat price follows tiers; the price of the tier reached applies to all seats, and nobody pays more than the minimum quantity of the next tier.
  • Building blocks cost a fixed share of the seat price; “Everything” is cheaper than the sum.
  • Raising or lowering an allowance shows the change in the price per seat immediately.

Who may do what#

  • Administration sees usage and costs of its own organisation, sets limits and submits package changes.
  • The operator maintains prices and cost rates (/admin/preise) and sees costs, revenue and margin per customer (/admin/kosten-kunden).
  • Learners only see their own usage.

Tips#

  • Every price and cost row in the operator area carries source, retrieval date and evidence status; changes are recorded with a reason as a new row.
